Executive accommodation in Monterrey: how to book a stay for someone else

Most executive accommodation in Monterrey is booked by somebody who is not going to sleep in it. That changes what you need to confirm before you commit, because the details that go wrong are the ones only the traveller knows.

You are booking blind, and that is the real problem

Assistants, travel coordinators, project managers and plant administrators book most of the work stays we handle. None of them will be staying in the property, which means every judgement call about whether it suits the traveller is being made second-hand.

That is manageable, but only if you gather a specific short list of facts before you commit. The requests that go wrong almost never go wrong on price. They go wrong because nobody asked the traveller one question that turned out to matter.

What to confirm with the traveller first

Four things, and they take one message: how many people are actually coming, how long they are staying, whether they will have a vehicle, and whether they are willing to share a bathroom. That last one sounds trivial and it is the single most common reason a whole-house booking turns out to be wrong for a group.

Our house sleeps up to seven guests in three bedrooms and five beds, with one bathroom. For two or three people that is comfortable and each person gets their own room. For seven it works only if the group is genuinely a crew that is used to organising mornings together. If you cannot answer that question about your travellers, ask them before you book, not after.

What to confirm with your own company

Two things: who receives the invoice, and whether your travel policy is written in a way that only understands hotels. In Mexico the tax document is a CFDI, issued to whoever is deducting the expense, which means you need the legal name, tax ID, tax regime and postal code of that entity before the invoice is issued rather than after.

The policy question is worth raising early. Many travel policies express their cap as a per-person, per-night hotel rate, and a whole-property cost does not look like that on its face. Converting the property cost to a per-person, per-night figure before you file the request is usually all the reconciliation an approver needs.

What to send when you enquire

Send the dates, the headcount, the length of the stay and who is paying. Those four facts are what turn an enquiry into a real answer. Without them any figure would be invented, which is why we do not publish rates for a whole property that is priced by period and duration.

Two optional details help a lot: what the travellers will be doing during the day, and roughly where. A team working in the eastern industrial corridor and a team with meetings on the western side of the metro get different honest advice from us, and sometimes the honest advice is that a different base suits them better.

The details travellers ask you about afterwards

Access is by self check-in, so a late arrival does not depend on anyone being at the door. That matters when flights land at night or when a team arrives on different flights across several days. Tell the traveller how access works before they land, because a person arriving in an unfamiliar city at midnight should not be figuring it out then.

There is no daily housekeeping. The property has a full kitchen, WiFi, a washer, a TV and free parking, and the stay is invoiced as one property for the period. If your traveller expects a front desk and a cleaned room every morning, tell them plainly in advance or book a hotel instead. Setting the expectation is a two-line message; resetting it on arrival is a bad start to an assignment.

When to book something else entirely

One traveller for three nights: book a hotel. A senior visitor who needs a front desk and daily housekeeping: book a hotel. Anyone who needs to hold meetings or receive clients where they are staying: book a hotel, because this is lodging and not an office.
