Three months is long enough that per-room hotel rates stop making sense, and short enough that an annual lease is not worth the guarantor, deposit, and furnishing work it demands.

The practical version: one property rented as a single unit for the project window, invoiced to the company, with the crew rotating through it rather than checking in and out.

Why three months is the awkward length

Under two weeks, a hotel is usually simplest. Past a year, a lease is clearly right. Three months falls between the two, and it is the length where companies most often overpay by defaulting to whichever option they used last time.

The hotel math turns first. Room rates are charged per person per night, so a five-person crew multiplies the bill five ways for ninety nights, with no kitchen to reduce food spend and no washer to handle work clothes.

The lease math turns second. An annual contract in Mexico typically means a guarantor or a rental policy, a deposit, utility accounts in someone’s name, and an empty property that has to be furnished and then emptied again. For ninety days, that overhead rarely pays back.

Rotation is the feature, not the complication

Contractor projects rarely keep the same faces for three months. People rotate in and out on their own cycles, and the lodging is expected to stay put while the occupants change.

That works cleanly when the property is booked for the whole window rather than per person. The stay continues, self check-in handles handovers between groups without anyone waiting for a front desk, and the company keeps one continuous booking instead of a stack of individual reservations.

What is worth agreeing in advance is who the named contact is, and how a change of occupants is communicated. That is a conversation, not paperwork — but having it before the first rotation avoids confusion at the door.

Invoicing across a long project

A US or foreign parent company will not receive a document that looks like a hotel folio. Mexican lodging is documented with a CFDI — the electronic tax invoice — and it requires the paying entity’s tax details, which need to be collected at booking rather than at project close.
