The structural difference from a hotel
A hotel manages inventory: if your group does not fit today it fits tomorrow, or it fits in another room category. A whole house has no categories and no spare. For a given date range there is exactly one answer.
So the useful question is not "how much is it?" but "is it free?". That one takes minutes to answer, which makes asking early essentially free.
What moves the calendar in the metro area
Three things mostly. Large city events — matches, concerts, expos at the metro-area venues — concentrate demand into very specific blocks. Industrial calendars, plant shutdowns above all, move entire crews for weeks at a time. And relocation seasons fill month-long stays.
When two of those land in the same fortnight, group-sized furnished availability closes considerably earlier than people expect from an ordinary week.
Enquiring with dates that are not firm
That is the real situation on most projects, and it is not a reason to wait. What works is giving the range: earliest possible start, latest possible end, and the maximum headcount.
With that range we can tell you immediately whether the block is open, whether part of it is already taken, and how much room you have to decide. That is useful information even if the project later changes.
What waiting for certainty actually costs
Waiting rarely improves the information and reliably reduces the options. The pattern is consistent: someone enquires once internal approval is signed, and by then the block they needed has been committed for weeks.
Asking early commits you to nothing and gives your own planning a data point it needs: whether lodging is a risk for those dates or not.
