Using the house as a project base: what works and what does not

No team just sleeps in the house. They review the day at the table, take a call after hours and plan tomorrow. It is worth being explicit about which of those work and which do not.

What actually happens

A team that stays together ends up working together. The end-of-day conversation happens at the table, somebody takes a call with head office, and tomorrow gets planned right there, without anyone having planned it that way.

There is nothing wrong with that, and it is one of the reasons housing a team together works better than splitting it across hotel rooms. But it is worth being clear about how far that goes, so nobody arrives expecting something the house is not.

What works well

Informal team work: reviewing open items, planning the day, going through a report with a laptop on the dining table. There is WiFi and shared space, and for that it is more than enough.

It also works well as the coordination point for the team: who leaves with whom, at what time, in how many vehicles. That daily conversation is exactly what a hotel with scattered rooms makes awkward, and it is where a whole house contributes most.

What the house is not

It is not an office. There is no meeting room, no work desks, no printing and no office services of any kind. If your project needs those, budget for them separately rather than assuming the lodging covers them.

It is also not the place to receive clients or suppliers. It is a house in a residential area, and a formal meeting with external parties belongs in an office, at the client site, or in a space hired for that purpose. We say so up front so nobody discovers it on the day they scheduled the meeting.

Video calls: what to expect realistically

There is WiFi and most teams take video calls without trouble. What we will not do is promise a speed figure or guaranteed performance, because that depends on more than we control and promising it would be selling something we cannot stand behind.

The more practical consideration is not the connection but privacy: in a house shared by five or six people, a confidential call in the common area is not confidential. If the project involves sensitive calls regularly, that is best handled with hours agreed inside the team.

How to raise it when you enquire

If your team will use the lodging as a daily coordination point, say so when you ask for a quote. It does not change the product, but it does change our recommendation on how many people should be housed together.

A team of three or four working at the table in the evenings uses the common space very differently from a team of seven that only comes back to sleep. Worth mentioning up front, along with the date range and headcount, so you get current conditions and an honest answer on whether it fits.
